Job Summary A vacancy exists at the JSE in Sandton to provide administrative and coordination support to the Marketing department and maintain a sustainable working relationship with stakeholders to contribute towards the achievement of the Marketing department’s goals
Responsibilities / Outputs -Apply cost effectiveness principles in everyday delivery to contribute to achievement of departmental financial targets
-Process procurement and payment requirements for the Marketing department in accordance with the procurement process to ensure compliance. 
-Conduct comparative studies on costs for bespoke activities or materials as and when required through requesting quotations from various suppliers
-Track progress to plan through frequent status update meetings with line manager in order to ensure deliverables within agreed timeframes and quality standards
-Maintain sustainable working relationship with stakeholders through ongoing engagement 
-Develop and sustain relationships with service provider/vendor/supplier administrative staff to facilitate the effective procurement to pay process with service providers/vendors/suppliers.
-Manage own delivery against agreed deliverables and set timelines, identify obstacles to delivery and take appropriate action where required 
-Review processes and procedures, to handle supplier payments, on a continuous basis and provide 
-Assist the marketing manager and marketing team with coordination and administrative activities for campaigns and projects, based on requirements within the team to contribute to successful delivery
-Liaise with stakeholders, creative agency and suppliers on assigned projects regarding the coordination and administration of various marketing activities in order to ensure delivery of marketing support to the business 
-Manage the marketing collateral/branding elements used in various activities by ensuring availability of collateral as and when required by the respective stakeholders 
-Measure success and standard of performance through stakeholder feedback, which will include positive, as well as negative feedback on services required and provided 
-Assist marketing as well as events function with the coordination of invitations through monitoring of the process to ensure that the invitations are signed-off by the marketing team and sent to the right databases 
-Keep track of progress against communicated deadlines by means of various check-point liaison with suppliers and agencies, follow-up and escalate non-cooperation when needed
-Assist in root cause identified and corrective action taken by providing required data to line manager as and when required
-Attend to ad-hoc duties and responsibilities as assigned by manager and marketing team in continuation of business and increased productivity
-Update and maintain marketing data base in order ensure availability of correct information as and when required by marketing manager
-Improve personal capability and professional growth in line with JSE objectives by discussing development needs and proposed solutions with management
-Be an effective team member encouraging team work and freely sharing knowledge
-Visibly live the JSE values contributing to the achievement of divisional objectives
-Manage self in terms of development, delivery and act as a self-starter
-Identify, share and implement value adding improvement/innovative ideas and solutions contributing to divisional and JSE results
Experience 1 - 2 years having been exposed to an internship equivalent programme in a marketing discipline
